Food Waste & Temperature Log for Coffee Shop & Cafe

Two logs turn a Coffee Shop & Cafe's biggest silent costs into managed numbers: a fridge and display temperature log (three checks a day against 0–5°C, with an act-now rule when out of range) and a waste log by item and reason, rolled into a weekly waste-% against sales. Keeping food cold is the food-safety check restaurants fail most in FDA data, and it is also where spoilage losses start.

Control temperature = control spoilage

1. Log chilled display and fridge temperature three times a day (0–5°C).Out-of-temp stock spoils early. Catch a failing fridge before it costs you a case of product.
2. Act immediately if the reading is out of range.Move at-risk stock, note the time, tell the manager. Do not sell product held above 8°C.

Make expiry a number you manage

3. Record all waste by item and reason (unsold, out-of-date, damaged). What is not measured keeps repeating. The log is what fixes over-ordering.
4. Track waste percent against sales every week.Set a target and drive it down. Every point of waste comes straight off profit.
5. Before an item goes out of date: cut the price (markdown), then offer a sample, then waste it.Always try to recover value before binning. Waste is the last resort, not the default.

Protect the brand and the sale

6. Keep allergen information correct and to hand. One wrong answer is a costly incident and lost trust. Never guess for a customer.

Frequently asked questions

What temperature should a cafe display fridge be?

Chilled displays and fridges should hold 0–5°C. Above 8°C, product safety can no longer be assumed - the rule in this pack is: do not sell product held above 8°C, move at-risk stock, note the time, and tell the manager.

How often should fridge temperatures be logged?

Three times a day - opening, mid-shift, closing. Peer-reviewed monitoring found supermarket cabinets outside the safe temperature range for up to 45% of normal operating hours; three anchored checks catch drift before it becomes a failed case of product.

What should a food waste log record?

Item, quantity, and reason (unsold, out-of-date, damaged) - every time, including staff drinks and sampling. Weekly, divide waste value by sales to get waste-%: set a target (many operators start at 4%) and manage it down. What is not measured keeps repeating.
