Pastry & Food Display Checklist for Coffee Shop & Cafe

For a Coffee Shop & Cafe that serves food, the display case is a second kitchen with its own rules. These 13 checks keep it safe and selling. Date-label every item you put out, check allergen information is correct and visible, and confirm the case holds chilled items cold. Remove anything past its date, and check dates every time of day. Log waste by item. Then work the case as a shop: fill it, rotate oldest-first, markdown short-dated stock, keep bestsellers at eye level, and sell add-ons and end-of-day bundles.

Check the display

1. Date-label every item you put in the display.A date label lets staff and customers know what is still safe.
2. Check allergen information is correct and visible for every item.Wrong allergen information can cause a serious reaction in a customer.
3. Check the display case keeps chilled items cold (cold holding).Cold holding slows bacteria growth in food that is ready to eat.
4. Remove any item that is past its date from the display.Out-of-date food is not safe to sell.
5. Check dates on the display every time of day (morning, midday, evening).Taking items off before the use-by date, not after, leaves time to markdown or bundle instead of throwing them away.
6. Log unsold food and waste for each item, every time of day.A per-item log stops you buying too much of slow-selling lines next time.

Keep the display full and selling

7. Fill the display for the serving period ahead, and top it up as items sell.A full case keeps items visible and gets short-dated stock sold before it must be dumped.
8. Rotate cakes and pastries so the oldest sells first (FIFO).FIFO stops items reaching their date before they sell.
9. Move short-dated items to the front with a price-cut sticker, and sell them before they pass their date.Clear them while people are buying. A markdown recovers cash instead of dumping the item as waste.
10. Put bestsellers at eye level and nearest the till. This is where people buy without planning. Put the most profitable, fastest-selling items there.
11. Combine trays as stock sells down so the case still looks full.A picked-over case looks stale and sells less, even when you have stock in the back.

Sell more with every sale

12. Suggest add-ons at the checkout: a coffee with that croissant?Asking at the till is the cheapest way to sell more. A coffee-plus-add-on bundle lifted profit about 24% in a field study, then faded when the prompt stopped.
13. Offer an end-of-day bundle on short-dated items still in the case.Sell stock that would otherwise go to waste, and still make a profit.

Frequently asked questions

What does the Coffee Shop & Cafe food display checklist cover?

Keeping the display safe and full, in 13 checks. You date-label every item, show allergens, hold chilled items cold, pull anything past its date, and log waste by item each day-part. Then you fill the case, rotate oldest-first, markdown short-dated stock, keep bestsellers at eye level, and sell add-ons and end-of-day bundles.

How should a cafe rotate its display case?

Oldest first. New stock goes behind existing stock, and short-dated items move to the front so staff sell them before the date passes. Rotating this way turns near-date stock into sales instead of waste.

Why label allergens on the cafe display?

Customers buying from a self-select case cannot ask the kitchen mid-rush. Correct, visible allergen information on every item is how they choose safely, and it is what an inspector expects to see on a food display.
